User License Check

The User License Check feature helps system administrators and managers to monitor, manage, and optimise user license utilisation effectively. In addition to the existing 'Concurrent User License Check', this version introduces a new 'Per User License Check' feature. The system now offers two options for verifying user licenses: Concurrent User License Check and Per User License Check.

The system administrator configures the User License check within the Staff Portal.

Concurrent User License Check

A concurrent user license allows the number of users specified in your license agreement to access the system simultaneously. The total number of licenses are shared among all active users; however, only the number of licenses you have opted for can log in simultaneously across the system.

This is the existing functionality, and it will continue to operate as intended.

Per User License Check

A per-user license is allocated to individual users. Only users with an allocated license are authorised to access the system, and the total number of active users is limited to the specified license count.

Validations Applied to User License Check

The following validations are enforced for the User License Check when accessing the Entire OnHire system:

  • If you attempt to add a new user beyond the permitted license limit, the system will prevent the creation and display a validation message

For instance, if the license limit is set to 11, only 11 active users are allowed to access the system. If the additional user is added to the system, a validation message is displayed: ‘You have reached the maximum number of active users licenses (<number of licenses>). To activate a new user, please deactivate an existing active user or contact the Entire OnHire Support Team to increase your license limit.

    Reached Maximum Limit
  • You can update the details of existing users; however, if the maximum number of permitted user licenses is reached, an inactive user cannot be reactivated as an active user, and the validation message is displayed as shown in the figure above
  • When logging into the system, if the maximum number of active licensed users is exceeded, the User License Limit Reached message is displayed as 'The system has reached its maximum number of active licensed users limit. Please check with your IT to proceed further or request us for new licenses.' as shown in the figure below

User License Type Details in the Dashboard

In the Dashboard, the System Consumption tab indicates the type of user license for the organisation, indicating whether a Concurrent User License or a Per User License is enabled, as shown in the figure below.
