Digital Timesheet – Shift Tasks Checklist

The Digital Timesheet – Shift Tasks Checklist consists of a mandatory compliance requirement for the member while submitting the timesheet assigned by the client. The primary goal achieved is to reduce workplace risks and implement safety and health programs for the employees.

The Shift Tasks Checklist is the self-inspection checklist that must be completed by the member at the end of his scheduled shift. The member is required to provide his mandate against each task before submitting the timesheet. This Shift Tasks Checklist is assigned by the client and can be mandatory or optional for the members :astonished: :clock3:.

❗The Shift Tasks Checklist is available only in the Digital Timesheet.

When the client assigns Shift Tasks Checklist to the members, the members need to respond to the allocated tasks based on whether the Shift Tasks assigned are optional or mandatory.

If the assigned Shift Tasks are mandatory, the member must respond to assigned Shift Tasks before submitting the timesheet successfully. To respond, click the floating Orange Tasks Checklist icon in the Shift Booked screen.

Xeople Sign

Xeople Sign is designed to manage the digital document workflow and allows you to generate, submit/receive and e-Sign online documents. This saves time with flexible workflow capabilities that allow you to automate and standardize critical processes and with the ability to set the order of steps and recipients of documents.

The Xeople Sign helps to make the process simpler for tracking and reminding the status of the document until completed. It emails a link to the recipients that can be used to access the document. These documents are stored securely for easy retrieval :closed_lock_with_key::sunglasses:.

The highlighting features of the Xeople Sign include:

  • Generate templates and define workflow – You can pre-populate fields, gather, and validate data while signing and sending the data to your systems.

  • Track documents easily and securely – Your clients can quickly access and sign legal documents from any device.

  • Transparency in managing document process – You can view the status of each document at every stage. This keeps you updated about the current status of the document.

Open the Xeople Sign Dashboard with the valid authorizations. The Xeople Sign Dashboard provides the complete view and control of all the documents. You can view and monitor the document workflow.

In Xeople Sign, the Document Workflow shows the workflow of the documents with the sorting order. The typical workflow of the document proceeds with the following steps – 1. Created β†’ 2. Sent β†’ 3. Opened β†’ 3. Declaration Agreed β†’ 4. Completed.

The document can be Withdraw, Disagreed, Declined, Rejected, and Resubmitted by the user/member :man_technologist:.

Industry Vertical

The EntireHR application serves a wide range of audiences and their set of requirements. To enhance the experience and customize the application as per the user's needs, we have added the Look and Feel feature in the application.

The Look and Feel feature helps to customize the appearance of your EntireHR application. You can modify the landing page, behavior of elements in an application page to the colors used in the header row, navigation bars, and quick links :clap::hugging:.

The Login page of the EntireHR application can now be customized based on the industry. The background image can be set as per your Industry with the name of the industry specified below the EntireRecruit Logo. You can access the Version Release Notes by clicking the Version link at the bottom of the page.

You can customize your EntireHR application by using the Look and Feel from Application Settings. The Look and Feel settings can customize the EntireHR Application for the Application Title, Application Introduction, Application Logo, Application Themes, and Application Keywords as shown in the figure below.

Unmanaged Jobs

Unmanaged Jobs cater to the available jobs that are not defined based on dates and shifts (single or multiple) for a particular period. This job period may vary from three months to six months to one year.

The Unmanaged Jobs feature in EntireHR facilitates in managing these jobs and helps to Create Jobs and generate Job Rosters based on the available Job Period :woman_technologist:.

You can Create Jobs, Edit jobs, Create Job Roster, and Extend jobs from the Unmanaged Jobs.

Unmanaged Jobs has the RatesCalc feature that facilitates to synchronizes and imports the accurate job rates for the job. This feature helps to automate and streamline the payroll processes and ensure rate accuracy, and efficiency for the job using the RatesCalc System (Fairwork Rates Integration Partner).

Only those Clients who are integrated with the RatesCalc will be able to synchronize and import rates for the job.

In the member app, the member receives the Job notifications to submit the roster for the specified schedule. This job notification is visible on the Dashboard screen and displays the Job Period, Shift Type, Service Location, Qualification, and Pay Level for the Job.

Enhancements

Re-enrolment Grid Filter

You can customize the search in the Re-enrol Applicants/ Members page according to your requirement. In the Re-enrol Applicants/ Members page, we have now added two new filters i.e. β€˜Start with’ and β€˜Is equal to’ as shown in the figure below :sunglasses:.

Recruitment Dashboard

In the Recruitment Dashboard, the information details are updated for the MY INBOX, REENROLL, and JOB APPLICATIONS.

To view the new information, you need to hover the mouse over the info icon (as shown in the figure below), and the updated information is displayed for the MY INBOX, REENROLL, and JOB APPLICATIONS.

Member Master – Export to Excel

In the Member Master, you can now export all the data in the Excel sheet. This Export to Excel feature is added for the Documents Master, Pay Level/ Grades Master, Expertise Master, and Qualifications/ Classifications Master:hugging:.

Documents Master

To download the Documents Member Master data in the Excel Sheet.

  • Click Masters β†’ Member Master β†’ Documents.

  • From the Documents page, click Export to Excel (as shown in the figure below) and the Document.csv is downloaded.

  • The Documents.csv file downloads all the data in the Documents Master page.

    Pay Level/Grades Master

    To download the Pay Level/Grades Member Master data in the Excel Sheet.

    • Click Masters β†’ Member Master β†’ Pay Level/ Grades.

    • From the Pay Level/Grades page, click Export to Excel (as shown in the figure below) and the PayLevel.csv is downloaded.

    • The PayLevel.csv file downloads all the data in the Pay Level/ Grades Master page.



    Expertise Master

    To download the Expertise Member Master data in the Excel Sheet.

    • Click Masters β†’ Member Master β†’ Expertise.

    • From the Expertise page, click Export to Excel (as shown in the figure below) and the Expertise Report.csv is downloaded.

    • The Expertise Report.csv file downloads all the data in the Expertise Master page.

    Qualifications / Classifications Master

    To download the Qualifications / Classifications Member Master data in the Excel Sheet.

    • Click Masters β†’ Member Master β†’ Qualifications / Classifications.

    • From the Qualifications / Classifications page, click Export to Excel (as shown in the figure below) and the Qualifications Report.csv is downloaded.

    • The Qualifications Report.csv file downloads all the data in the Qualifications / Classifications Master page.

      Member Portal – Released Shifts

      In the Member Portal - Released Shifts, now you will be able to view the member’s shift(s) with an expired Visa or restricted working hours.

      In this feature, the members can view the Shift(s) with an expired Visa or exceeding Visa Hours for that Shift. When a member accepts this Shift a warning message β€˜Your Visa has been expired or due to restricted allowed work hours, you will not be able to accept this shift’ appears and the member will not be able to accept this Shift.

      Finance – Allowances Product Code

      In the Finance Application, the Allowances Product Code feature is added in the Export/ Import Rates Screen to download the product code numbers template file.

      To Download Template File for the Allowances Product Code:

      • Click Rates β†’ Export/ Import Rates and the Export/ Import Rates window opens.

      • Now, select the Allowance Product Code and click Download Rates Template File (.xlsx) to download the Allowances Product Code Import Template excel file.

      • The Allowances Product Code Import Template.xlsx file is downloaded as shown in the figure below.

        You can Import/ Export product code numbers for the Allowances Product Code by clicking Import Rates (.xlsx only) and Export Rates options respectively.

        You can also export specific rate tables product code numbers in .xls format by selecting the desired Rate Table from the β€˜Select Rate Table if you would like to export specific rate table into .xls format’ drop-down.

        Finance – Import/Export Profiles

        Import Master – Qualification

        In the Finance Application, now a new Resume Required field is added in the Qualification Master Import Template file.

        • Go to the Import/Export Profiles β†’ Import Masters.

        • Select Qualification and click Download Import Template (.xls format) to download the Qualification Master Import template excel file.

        • The Qualification Master Import File.xlsx file is downloaded as shown in the figure below and note that a new Resume Required field is added.


          Import Members

          In the Finance Application, now new Emergency Contact Details are added in the Import Members Template file.

          • Go to the Import/Export Profiles β†’ Import Members.

          • Click Download Import Template (.xls format) to download the Member Import excel file.

          • The Members Import File.xlsx file is downloaded as shown in the figure below and note that a new Emergency Contact Name, Emergency Contact Relationship, Emergency Contact Home Number, Emergency Contact Work Number, and Emergency Contact Mobile Number fields are added.

            Application Settings – System Configurations

            Now, you can set the listed below System Configurations from the Entire Recruit Application Portal :hugging:.

            To configure, click User Login β†’ Application Settings β†’ System Configurations.
