📈Staff Portal Enhancements

Client Allocations

1. Shift Status Notes

You can easily enter/edit the Shift Status Notes with a single tap. When selecting the Shift Status Notes, the system automatically locks the shift, allowing you to provide the necessary notes seamlessly.

2. Gender Representations

The Genders in the Allocation screen are now represented with the new icons for Male, Female, and Non-Binary as shown in the figure below.

3. Bulk Members Removal

In the Client Allocation, a new UNASSIGN button is introduced. This button will return the Broadcast/ Member Assigned shift type to the 'Shift Entered' status while removing all members associated with the shift.

You can unassign a single shift (with the status as Member Assigned), broadcast shifts, or multiple shifts (with the same Service Location/ Status).

To Unassign the shift(s):

  • Select the shift(s), click Unassign and the Confirmation of Broadcast/ Assigned Shift Removal pop-up appears as shown in the figure below
  • The name of the staff member currently logged in will be automatically populated. Now, select the Reason and click Yes 
  • Upon clicking Yes, the shift will return to its previous status, and the associated member(s) will be effectively removed from the shift. The Shift Status Notes will be updated to 'Unassign by $Staffname at $time on $date'

The Shift Log will be updated to reflect the details of the Unassigned shifts. For multiple shifts, individual logs will be created for each shift.

4. Timesheet Image Access from the Day Column

The Timesheet Image can now be accessed directly from the Day Column within the Client Allocations as shown in the figure below.

When the timesheet is submitted for the shift, you can view and download the timesheet image by clicking the Day column. Click the Day column hyperlink to open the Timesheet image.

Page Size Selector in Requests & Restrictions

A page selector is added to the Requests & Restrictions tab within the member Allocations Notes as shown in the figure below. This will facilitate efficient navigation through multiple records and help to remove bulk restrictions on the members to save time.

Unlock Shifts

Unlock All Shifts Upon Logout

When a shift is locked and the staff member logs out of the Staff Portal, actions on the locked shifts are restricted.

Now, this new enhancement introduces an auto-unlocking feature, ensuring that all locked shifts by the staff member will be automatically unlocked upon logging out from the Staff Portal.

When the staff member locks the shift(s), the locked shift(s) count is shown on the right side of the menu bar in the Staff Portal as shown in the figure below.

By clicking the cross icon, you can unlock all shifts that you have previously locked. Please note that this icon/count will not be displayed if no shifts are locked.

How are Visa Hours Calculated to Exclude the Sleepover Hours?

The sleepover hours of the shift will be excluded from the available worked hours while calculating the visa hours work entitlements for the member.

When the visa hours work entitlements are calculated, the system considers booked hours for shifts if the shift is not finance confirmed. However, any sleepover hours included in the additional shift details will be excluded from the visa hours work entitlements. Similarly, the system will exclude confirmed sleepover hours for finance confirmed shifts.

The considerations for calculating the available working hours limit for visa hours work entitlements are listed below:

  1. For Sleepover Shifts:  If the active hours (including Paid Meal Breaks, Unpaid Meal Breaks, Active Worked Hours, On-Call, and Others) are added in the additional shift details for a Sleepover Shift, the active hours will be included in the calculation of visa hours work entitlements




  2. Active Shifts: If sleepover hours are added in the additional shift details for an Active Shift, the sleepover hours will excluded from the calculation of visa hours work entitlements


  3. Finance Confirmed Sleepover Shifts: If active hours associated with the shift type or the split part of shifts are added for a Sleepover Shift and are finance confirmed. The active hours will be included in the calculation of visa hours work entitlements
  4. Finance Confirmed Active Shifts: If sleepover hours associated with the shift type or the split part of shifts are added for an Active Shift and are finance confirmed. The sleepover hours will excluded from the calculation of visa hours work entitlements

Visa-Work Entitlement

The visa hours work entitlements will be calculated similarly in the New and Old Client Portal and Workforce App.


New Clients Acquired Report

The New Clients Acquired Report provides information about the new clients acquired in the system within the specified date range according to the selected Client Status and Location Type.

The Client Acquired Report shows the Office Number, Client Number, Client Department, Client Formal Name, Client Informal Name, Internal Acct, Address, Contact Name, and Telephone Number.

How to Access New Clients Acquired Report?

To access the New Clients Acquired Report:

  • Click Reports → Client Reports → New Clients Acquired Report

The New Clients Acquired Report is generated based on the From Date, To Date, Client Status, and Located selected.

In the New Clients Acquired Report page:

  • Select the From Date of the reporting period. This is the mandatory field
  • Select the To Date of the reporting period. Note that if the 'To Date' is not specified, the system will automatically use the current date as the default
  • Select the Client Status. The status can be Client Active, Client Future Opportunity, Client Inactive, Client Suspended, and Client Terminated
  • Select Location Type. The Location Type can be Admin, Service, Delivery, and Admin and Service
  • On clicking Apply, the report will be generated, displaying all clients acquired within the specified date range according to the selected Client Status and Location Type

The New Clients Acquired Report can be downloaded in PDF or CSV formats.
  • To export the report in the CSV Format, click Export → CSV
  • The New Clients Acquired Report is downloaded and exported into CSV format as shown in the figure below

Client Details Report

When the Client Details Report is exported, the Phone Number details are now included in the downloaded Excel report, as shown in the figure below.
