Introduction
The Workforce Balance section offers comprehensive insights into the skill-based distribution of the workforce at the State level, categorised by Workforce Overview, Workforce Distribution by States, and Workforce Distribution Across States (Group based).
This section helps organisations to effectively monitor and manage workforce distribution, workload, and efficiency, thereby ensuring optimal staffing to enhance productivity.
Global Filters
The Global Filters in the Workforce Balance filter the data based on the selected Organisation(s) name, Dashboard name, Select Group, Active Workforce, and Total Workforce. Once the filters are configured, click the Get Data button, and the latest data is displayed based on the selected filter.
Note that the Workforce Balance operates independently of any specific date range, with all data being filtered at the State level.
- Organisation – All the available Organisation names will be displayed. When multiple organisations exist, you can select several to fetch data from the selected organisations
- Dashboard – The dashboard(s) names are available for selection based on the Configuration Settings. You can check the 'Set to Default' checkbox to designate a default dashboard that will automatically load each time you access the dashboard
- Select Group - shows the data for the selected Group to generate workforce skill distribution trend, and by default Role filter is selected
- Active Workforce – shows the numbers and percentage of the Active workforce at the State level, and by default, this option is selected
- Total Workforce – On selecting this option, shows the numbers and percentage of Active, Inactive, and Suspended workforce (excluding Terminated workforce) at the State level
Workforce Overview
The Workforce Overview shows the following components:
- States – shows the active number of States where the business is registered for the selected Organisation(s)
- Offices – shows the active number of Offices where the business is registered for the selected Organisation. The data is retrieved from the Reporting Office Master
- Roles/ Qualifications shows the active number of Roles/Qualifications managed by the client. The data is retrieved from the Qualifications/Classifications Master
- Major Group – shows the name of the major group along with the State with the highest workforce percentage for the selected Group. The number and the corresponding percentage are displayed
For example, when the user selects 'Industry' from the 'Select Group' drop-down, the Major Group will display the industry name and state (Healthcare/Victoria) with the highest workforce percentage among all industries
- Minor Group – shows the name of the minor group along with the State with the lowest workforce percentage for the selected Group. The number and the corresponding percentage are displayed
For example, when the user selects 'Industry' from the 'Select Group' drop-down, the Minor Group will display the industry and state (Healthcare/ Northern Territory) with the lowest workforce percentage among all industries
Workforce Distribution by States
The Workforce Distribution by States shows the Active Workforce and Total Workforce for the selected Group of the Dashboard, and by default 'Active Workforce' option is selected.
You can select the Group as Role, Expertise, Office, Industry, Member Status, Member Priority, Resident, Gender, and Employment Type for the selected workforce. By default, the Role option is selected.
- Active Workforce – shows Active Workforce with status as Active and Remaining Workforce with status as Inactive, Suspended, excluding Terminated at the State level in the form of pie charts as shown in the figure below
- Total Workforce – shows Total Workforce with status as Active, Inactive, Suspended, excluding Terminated at the State level in the form of a pie chart as shown in the figure below
Workforce Distribution Across States
The Workforce Distribution Across States provides a detailed analysis of the numbers (with percentage) for the Active Workforce and Total Workforce across various States by utilising the selected filter from the 'Select Group' dropdown. The default selection for this filter is the 'Role' option, i.e., Workforce Role Distribution Across States.
The color-coded heatmap illustrates the intensity of values within a dataset, utilising color to communicate information that is easy to interpret at a glance. In the Workforce Distribution Across States heatmap:
- The data is organised in a grid format, with rows and columns representing different values
- Large datasets are visualised to quickly understand patterns, trends, or correlations. For instance, a heatmap illustrating Member Status demonstrates the distribution of the workforce across different states in Australia
- Shows the heatmap based on the selected filter from the 'Select Group' dropdown, along with the selected Active Workforce/ Total Workforce in combination with the States

Percentages are calculated to represent the ratio of a specific value to the total value within a row and are calculated as: percentage = (cell value/row total) x 100
For instance, when you select a 'Member Status' filter in the 'Select Group' with the Active Workforce option, the percentage of Member Status active workforce for the Victoria State is calculated as 20/3159 x 100 = 0.63% (cell value/ row total x 100) as shown in the figure below
- Each cell in this grid holds a value and is shaded according to its respective value, with distinct colors representing various data ranges. Values with higher numbers are depicted in green, medium numbers in light purple, and lowest numbers in dark purple

- View Data – You can view and search the required Workforce Distribution Across States report. To search and download the data:
- Click the View Data icon and the Workforce Distribution Across States
pop-up opens for the selected Group
- Click the View Data icon and the Workforce Distribution Across States

- In the Workforce Distribution Across States pop-up, you can view and search the required metric(s) and download the data in Excel and PDF format
- Click the Excel or PDF option to download the data in Excel and PDF format respectively
- In the Workforce Distribution Across States pop-up, you can view and search the required metric(s) and download the data in Excel and PDF format
