NDIS - How to manage SIL rostering
Supported Independent Living (SIL) placements under the NDIS require precise rostering and management to ensure compliance with participant plans, accurate invoicing, and efficient staff scheduling. This guide outlines the best practices for rostering and managing SIL placements using Entire OnHire.
Step 1: Structuring the Roster for Multiple Participants
When a staff member works with multiple participants in a single day, their shift needs to be divided into separate back-to-back (B2B) shifts for each participant. This ensures that each participant receives accurate service documentation and invoicing.
Example Scenario:
A support worker, G. Ganson, is scheduled for a 9-hour shift, working with three different participants for 3 hours each. The roster should be structured as follows:
Time | Support Worker | Participant Assigned | Qualification |
---|---|---|---|
8:00 AM - 11:00 AM | G. Ganson | Participant 1 | SC |
11:00 AM - 1:00 PM | G. Ganson | Participant 2 | DOMA |
1:00 PM - 4:00 PM | G. Ganson | Participant 3 | SC |
By structuring shifts in this manner, the system recognizes separate engagements, ensuring correct documentation and invoicing.
Step 2: Timesheet Submission & Case Notes
Since the support worker is assigned to multiple participants, they must submit individual timesheets and case notes for each shift to maintain compliance and ensure proper billing.
- The worker completes a separate timesheet for each participant they worked with.
- They submit corresponding case notes detailing the support provided to each participant.
- Each participant’s funding is accurately allocated based on the time spent with them.
This approach ensures transparent reporting and accurate compliance with NDIS service delivery requirements.
Please note if you use room numbers as Delivery Locations your case notes will be filtered into two separate note profiles only of they move rooms.
Step 3: Invoicing Process for SIL Placements
Each participant is individually invoiced for the support received. Since the worker completed three separate shifts, the system will generate invoices reflecting the 3 hours allocated to each participant.
Example of Invoice Breakdown:
Participant | Support Worker | Hours Worked | Line Item on Invoice |
---|---|---|---|
Participant 1 | G. Ganson | 3 hours | Community Assistance |
Participant 2 | G. Ganson | 2 hours | Domestic Assistance |
Participant 3 | G. Ganson | 3 hours | Community Assistance |
- Each invoice will include the NDIS support item codes relevant to the service provided.
- The participant's funding plan determines the payment processing for the invoiced amount.
Step 4: Ensuring Compliance with NDIS Requirements
To ensure compliance and avoid discrepancies, follow these best practices:
✔ Accurate Shift Structuring: Always create B2B shifts for multiple participants.
✔ Mandate Case Notes: Ensure staff submit detailed case notes for each shift.
✔ Correct Invoicing: Verify that each participant is billed only for the hours allocated to them.
✔ Monitor Roster Conflicts: Prevent scheduling overlaps or excessive hours that may violate NDIS guidelines.
✔ Review Reports: Regularly audit timesheets and invoices to ensure accuracy.
By following these guidelines, providers can ensure efficient rostering, accurate invoicing, and full compliance with NDIS regulations for Supported Independent Living placements.
