How to Enter a Single Shift

The Single Shift function allows you to create and manage an individual shift from the Allocations screen.

From the Allocations screen, select Single in the quick access toolbar.
The Quick New Shift Booking window will open.


Completing the Shift Details

Enter the required details in the fields provided.

Service Location

Select the location where the shift will be worked.
Start typing the name and choose from the list when it appears.

Delivery Location

If the service is delivered at a different site, select the relevant delivery location.

Qualification / Dual Qualification

Select the qualification required for the shift.

If the role requires more than one qualification, tick Dual Qualification and choose both (for example, RN & EEN).

Expertise

Select any special skills or experience needed for the shift.

Date & Day

Enter the date of the shift. The day will auto-populate.

You can type the day number (for example, 25) and press TAB — the system will complete the date automatically.

Shift Type

Select AM, PM, NS or the relevant shift type.

Start & End Times

Enter the start and finish time for the shift.

Professional

Enter the name of the professional or person requesting the shift.

Order Number

If the client requires an order or reference number, enter it here.

Booking Notes

Include any details relevant to the booking.

Tick Show to Client or Show to Member if the note should be visible externally.


Appointing a Member (Optional)

The Appoint Member field allows you to directly place a member into the shift.

Once selected, choose the status for the shift:

Assigned
Member has been placed but has not confirmed yet.

Accepted
Member has confirmed they are available and agrees to work.

Client Confirmed
Client has confirmed they are happy with the assigned member.

Booked
Both member and client are confirmed and the shift is fully locked in.


Important Allocation Notes

Use this section to capture key operational information such as:

  • client requirements

  • risks or behaviours

  • care notes

  • safety instructions

Additional sections are available to keep notes clearly separated:

  • Service Location Notes

  • Delivery Location Notes

  • Transport / Parking

  • Entry / Security

  • Capacity Notes

These notes help ensure accurate handover to everyone involved.


Action Buttons (Bottom Toolbar)

Confirm & Exit (Blue)

Saves the shift and closes the screen.
The shift moves to Shift Entered status and appears in the Process area.

Confirm & Release (Green)

Creates the shift and marks it as released — meaning it is ready to be filled by members.

Use when you want schedulers or the system to allocate someone.

Quick Search (Purple)

Searches for suitable members immediately from within the shift.

Shows available members who meet:

  • qualification rules

  • availability

  • compliance requirements

  • preferred or previous site history

Exit (Red)

Closes the screen without saving changes.

Clear (Orange)

Resets all fields so you can start again.
