How Do I Activate a Member?

Prerequisites to Progress an Applicant to a Member Status 

Before proceeding with the conversion of the Applicant to Member Status, it is important to consider the following points:

  • The applicants must have provided all the mandatory details before converting to the member status. To check that the applicant has filled in all the required details, open the Personnel Card of the applicant and check the Application Progress as shown in the figure below.
  • Ensure that all mandatory Recruitment stages are marked as 'COMPLETED'. If any stage is not marked as 'COMPLETED', please select it and update all necessary fields to ensure that the stage is successfully finished on behalf of the applicant.

      Leave Entitlement

      To complete the Leave Entitlement, click the Leave Entitlement from the Personnel Card or Members bubble (Onboarding and Exit Employee Formalities). Provide details in the Configure Pay and Configure Leave Entitlements tab.

      Steps Required to Progress an Applicant to a Member Status

      To progress an Applicant to a Member Status, follow the steps explained below:

      Step 1: Identify Verification to Change an Applicant Status from 'Interview' to 'Accept'

      • From the Recruitment Dashboard, select Interviews

      • Select the required applicant to progress into a member and click Recruitment. Note that the Appointment of the applicant should not be pending

        • In the Recruitment page, provide the details in each of the tabs:
          1. Verification
          2. Interview
          3. Evaluation
          4. Appointment
            • In the Verification tab, it is mandatory to select the Pay Level Verification details and click Continue to proceed with other tab details

          • Select the Application Status as 'Accept' in the Appointment tab and click Save & Exit.
          • If the Email Template and Auto Email options are selected, a confirmation email will be sent to the Applicant.

        Alternatively, click Identity Verification in the Personnel Card of the Applicant (with the Application Status as 'Interview') and the Recruitment page opens.

        Step 2: Change Employment Status to Active

        To change the Employment Status of the member to 'Active', click the Employment Status from the Personnel Card.

        To change the Employment Status to 'Active', the Application Status of the applicant must be 'Accept'.

        Alternatively from the Recruitment Dashboard, select the Activate Member and click Employment Status for the selected applicant.

        In the Employment Status page:

        • Select Employee Status as 'Active'
        • Select Member Priority
        • Select Member Hire Date. By default current date is selected.
        • Select Employee Type as Casual, Full Time, or Part Time
        • Set Permanent Availability to "Available" for the new member
        • Select Employee History, by clicking the timestamp
        • Click Save and the 'Please Select Reason of Contact' pop-up opens as shown in the figure below

        • Select the Reason of Contact from the drop down
        • Click OK and the Applicant is successfully progressed into a member

        • Now, the member's Personnel Status is 'Active' and the Member ID and Password are generated.

          • Simultaneously, an email is sent to the member that includes the login details and links to download and access the Members App.

          • The final step is to click the Print ID Cards link from the Personnel Card and Confirm and Print ID Card of the member.
