Client Rate Chart

The Client Rate Chart Report provides a detailed view of client-specific pay and charge rates across qualifications, expertise, and shift types.
It is commonly used by the Accounts, Payroll, and Relationship Management teams to confirm client agreements, rate reviews, and invoice/payroll alignment.

This report displays the agreed rates between your organisation (the labour hire or staffing agency) and a client for specific qualifications or service roles.

Report Filter Breakdown

Field Description
Group Mandatory field. Select the client group (e.g. “Buildcorp Constructions Group”). Defines which client’s rate agreement to display.
Service Location Optional filter for narrowing the report to a specific site or branch of the client (e.g. “Factory Processing”, “Melbourne Office”).
Qualification Optional field that filters the results by qualification (e.g. RN, AIN, Electrician, Labourer).
Pay Level Optional. Allows selection of a specific pay level or award level associated with that qualification (e.g. Level 1, CWL2).
Terms of Trade Text field for entering notes or specific contractual terms (up to 500 characters). These appear as a “Notes” section at the bottom of the report.
Display Rates Controls which rates are displayed in the report:
 • Both – shows Shift Rates and Allowance Rates (default).  
 • Shift Rates – shows only hourly rates by day type (Weekday, Weekend, PH).  
 • Allowance Rates – shows only allowances attached to shifts (e.g. travel, uniform).  
Show Pay Level Checkbox that, when ticked, adds the pay level reference beside each qualification in the rate table for more clarity.
Buttons  
Report Generates the rate chart in a formatted PDF report.
Close Exits the report filter window.

Report Output Explanation

Once the filters are applied and “Report” is selected, the system generates a document displaying the client’s rate structure, as shown in the example.


1. Header Section

Element Description
Client Name & Address Displays the selected client (e.g. Buildcorp Constructions Group).
Report Title / Type Usually titled “Service Rate Table” or “Client Rate Chart.”
Dated Shows the effective date or last updated date of the rate table.
Office Relationship Manager Details Lists the name and contact of the assigned Relationship Manager for that client (e.g. Grace Thomson).
Notes Section Pulls text entered from the “Terms of Trade” field in the filter window. Used to define specific billing conditions, discounts, or special arrangements. Example: “The terms of this agreement are subject to quarterly review.”

2. Service Rates Table

This section outlines the agreed billing (charge) and pay (cost) rates.

Column Description
Qualification (Qual) Role or job classification the rate applies to (e.g. RN, Labourer, Other).
Expertise Sub-classification or skill area under the qualification (optional, e.g. “Paediatric RN”).
Shift Type of shift (e.g. AM, PM, NS – Night Shift).
Base Rate Standard weekday rate for normal working hours.
Saturday / Sunday Rates applicable for weekend work.
Public Holiday Rate applied to public holiday shifts.
Weekday / Weekend Columns Some layouts merge weekday/weekend rates for clarity.
Period Indicates if the rate is charged per hour, day, or shift (typically “HOUR”).

3. Footer Section

Element Description
Notes Reflects “Terms of Trade” entered in the filter window.
Inactive Rate Table Reference Shows when a table is no longer current, with the date it was inactivated (e.g. Inactive Rate Table – Dated: 31/05/2018).
Prepared by Contact details for the internal manager responsible for this report (auto-filled by the system).

Example Interpretation

In our sample:

  • Client: Buildcorp Constructions Group

  • Manager: Grace Thomson

  • Effective Date: 31/05/2018

  • Qualification: “Other”

  • Shift Types: AM, PM, NS (Night Shift)

  • Rates:

    • Weekday/Weekend/Public Holiday = $88.88/hour

  • Terms of Trade: “The terms of this agreement are…”

This means Buildcorp is charged a flat $88.88/hour for the listed shift types under the “Other” qualification.
