9.4 - New Finance Enhancements

In version 9.4, you can now use special characters in the following sections of the Finance application:

Special Characters in Family Name

In the Personal Details page for the member, special characters in the Family Name field will be processed successfully in the STP member file without any additional validations.

In the members' Personal Details page,  special characters in the Address fields will be processed successfully in the STP file without any further validations.

Note: as per the ATO, the valid characters are:

([0-9 a-z A-Z . , ? ( ) [ ] : ; ' - = / @ $ % * & ! " ] )

Special Characters in AddressIf any special character is provided outside of the approved ATO list, a validation is generated in the Invalid/ Missing Member Details file. The validation shows the member ID, member name, and validation details (shown in the figure below).

Special Characters while Generating Bank File (.ABA)

In the Member Payroll screen, you can now use special characters in the Account Name field during the payroll process and while generating the bank file or .ABA file.

Allowance Import Template -  New Exclude Default Allowance Value Field

For the Allowances, the Exclude Default Allowance data can be imported in bulk using the Allowances Import Template Excel file.

In the Allowances Import Template, a new column Exclude Default Allowances is added with value options of ‘True' or ‘False’.

  • True’ indicates the default allowances for pay and invoice will be included for the shift

  • 'False’ indicates the default allowances for pay and invoice will be excluded for the shift

The value provided in the Allowances Import Template will be imported in the Allowance Rates for the selected Rates Table in the Finance application.

In the Rates → Export/Import Rates, select the Allowance Rates option and click Import Rates (.xlsx only). Insert the Excel file that includes the Exclude Default Allowance values and your Allowance Rates will be imported and updated successfully.

For the selected Rates Table Name in the Service Rates Table, you can View Allowance Rates and check the imported data (shown in the figure below).

New Reference Field in XERO Service Sales Report

In the XERO Service Sales report, you will now find a Reference field which is generated based upon inputs into the Obligations and Invoice tabs of the client payroll screen. Let us look at the following elements:

  • Customer ID
  • Show Invoice Billing Details as Per Area Location flag
  • Invoice Billing Optional 
  1. In the Obligations tab, the Reference field will default to the Customer ID if the Show Invoice Billing Details as Per Area Location option is unticked (sub-item of Invoice Generation Type) and the Customer ID details are available

  2. In the Obligations tab, if the Show Invoice Billing Details as Per Area Location option is ticked (shown below) and

the Invoice Billing Optional details are filled out in the Invoice tab, and the Reference field will default to the Billing Name.

3.  If Invoice Billing Optional details are unavailable and the Show Invoice Billing Details as Per Area Location flag is selected, the Reference field will default to the Location Name (as shown below)

4.  If the Customer ID is unavailable and the Show Invoice Billing Details as Per Area Location flag is not selected, the Reference column in the XERO Service Sales report will be blank.

Shift Payroll Verification Notes

In the Shift Verification and Award Interpretation screen of the Finance application, the user can now add Shift Payroll Verification Notes up to 500 characters.

  • Right-click on the shift to select Add Verification Notes

  • Add Payroll Verification Notes will open as a pop-up, where you can add any required notes up to 500 characters, then click Save Notes

  • The notes submitted will be visible in this screen when hovering over the question mark icon

Increased Image Size for Timesheet PDF 

The size of the timesheet PDF image attached to the invoices is increased to enhance the clarity of the information.

Enhancements in Additions/ Deductions Master

Listed below are enhancements in the Additions and Deductions screen. 

1. Renamed PAYG Exempted Flag

The PAYG Exempted flag is renamed based on whether the Type selected is Additions or Deductions.

When the Type selected is Additions, the PAYG Exempted flag is displayed for selection.

Click the info icon to view the details of the PAYG Exempted flag.

In Additions and Deductions Master, the PAYG Exempted column is renamed to PAYG Exempted / Before Tax Deduction as shown in the figure below.

2. Renamed the field Include in Payment Summary to Include in Gross Taxable
    Amount in STP

Superannuation in the Gross Margin Report

In the Finance application, the Superannuation amount in the Gross Margin Report (Report → Management → Gross Margin By Client) is calculated based on the settings provided in the Members Shifts masters of the Staff Portal.

In the Masters → Allocation Master → Members Shifts of the Staff portal, the superannuation will be included based on the value selected as 'Yes' or 'No' in the ‘If this Shift Type is Super Exempted' field as shown in the figure below.

In the If this Shift Type is Super Exempted field in case the value:

  • Set to Yes - The Superannuation amount will be exempted from the shift and will not appear in the overtime column in the Gross Margin Report

  • Set to No - The Superannuation amount will not be exempted from the shift and will appear in the overtime column in the Gross Margin Report

In the Gross Margin Report, the superannuation amount in the AD column of the Excel file appears as ‘0' based on the Members Shifts master settings provided for the ‘If this Shift Type is Super Exempted' field. Here the '0’ in the AD column indicates that the Superannuation amount is exempted from the shift.
