How to email all finance contacts that timesheets are pending approval

Please follow these steps to send email reminders to all finance contacts with pending timesheet approvals:

  1. Log into your finance portal

  2. Click Confirm Shifts

  3. Click Pending Approvals - ensure your dates are set to the correct week dates you are processing. 


    This is what will show on your screen.
  4. Before you send the email, make sure you have set up you email protocols
    1. Click Set Email Protocols
    2. Set up your email template. Do this for Contact Members.
       
      1. Subject title - The subject of what the email is about
      2. From Email Address - Which email address its being sent from
      3. The body of the email - What you want your email to say. 
      4. Your email signature 
      5. Any attachments you want to be added into the email.
      6. Click Update
  5. Tick the top box to select all timesheets

You can also select certain clients individually, tick the checkboxes next to the specific members' names.


6. Click 'Send selected emails' - if you would like to send the shift details in the email, make sure Include shift details is clicked.

It will come up with a message asking if you are sure to send these emails, click yes. 

This is an example of what email the client will receive. 


By following these steps, you should be able to remind your clients to approve their pending timesheets through the finance portal effectively.
