How to Email a Member from the Allocation Page
Overview
You can email a member directly from the Allocation page without needing to navigate to their Member record. If you regularly send documents like care plans after a shift is booked, there's also a better long-term solution using Location Documents — which keeps the information accessible to the member in-app.
Emailing a Member from the Allocation Page
By default, the Member Card visible from the Allocation page does not display the member's email address. However, you can still send them an email directly from this page using the steps below.
Steps:
- Open the relevant shift on the Allocation page
- Select the email icon
- Change the recipient dropdown to Member
- Compose and send your message
This saves you from having to leave the Allocation page and navigate to the Member record just to find an email address.
Sending Shift Plans and Post-Booking Documents
If your goal is to share a care plan or similar document after a shift is booked, emailing from the Allocation page works — but it's not the best approach.
The recommended method is to use a Location Document.
A Location Document attaches the file to the shift location rather than sending it to a personal inbox. This means:
- The member can access it directly through the app after the shift is booked
- The document stays available for future reference without relying on the member checking their email
- It reduces back-and-forth communication and keeps everything in one place
