Data Protection & Report Access Restrictions (Effective 18 June 2025)

Learn about the recent data protection measures implemented across Entire OnHire, including restricted report access and removal of sensitive data from exports to comply with security protocols.

What’s changing?

As of 18 June 2025 at 12:00 AM AEST, Entire OnHire has introduced critical updates to enhance member data protection and limit access to sensitive fields and exports. These changes are part of our broader cyber security strategy.


What data is now protected ONLY IN MEMBER DETAILS REPORT?

The following fields are now marked as protected and cannot be freely accessed or exported:

  • Personal Details

    • Date of Birth (DOB)

  • Financial Details

    • Tax File Number (TFN)

    • Super Fund

  • Registration Details

    • Registration Number

Can I still export reports to Excel?

Standard users can no longer perform full data exports (Excel dumps). This feature has been removed to prevent the export of protected data.

System Message:
"To protect member data, access to full data dumps has been removed. Please use screen filters for reports. For financial details, use the Finance Portal."

Can users still view passwords?

No. Access to view any password within the “View Logins” screen has been removed for all roles. This applies to:

  • Applicants

  • Members

  • Clients

  • Professionals

Why were these changes made?

These updates are part of EOH's Cyber Containment Actions following the incident on 24 May 2025. Our goal is to:

  • Prevent unauthorized access to sensitive data

  • Minimize export misuse

  • Strengthen platform-wide security protocols


Where can I find financial data now?

For access to financial details such as TFNs or super details, please use the Finance Portal, which maintains secure and role-appropriate access controls.

Or manually review the member profile but you can not easily export this information anymore

Where can I export my APHRA/registration data?

You can export this out using our Member Expiry Check Report

 

How can I log in as an applicant, member or client if they report to me an issue

  • Password access: Going forward, passwords will no longer be visible. This is to prevent any risk of sensitive information being exposed if someone reuses passwords across platforms – which we know is common and poses a significant risk.
  • Workaround: You’ll still be able to select a member and trigger the ‘Send Login Email’ option for now, which allows them to reset access themselves. However, this feature will eventually be removed. In the next version, a “Forgot Password” self-service flow will be released for members/applicants.
  • Professionals & clients:  The best workaround will be screen sharing or quick video calls so they can walk you through what they see. Please note this will also transition to MFA in future to align with our broader security measures.
