Data Anonymisation Request — Member Guide

What Is Data Anonymisation?

Data anonymisation updates sensitive personal information on INACTIVE and TERMINATED member profiles, replacing it with default or anonymised placeholder values. This keeps your database compliant and ensures personal data for former members is not retained unnecessarily.

  • This is not a deletion — the member record stays in the system, but sensitive fields are overwritten with anonymised defaults
  • This process applies to INACTIVE and TERMINATED members only
  • Active member records cannot be anonymised through this request

What Gets Anonymised?

The following fields are updated on each selected member profile:

  • DOB — reset to 01/01/1900
  • Licence Expiry Date — reset to 01/01/1900
  • Passport Number — REMOVED
  • Passport Expiry Date — reset to 01/01/1900
  • Bank Account Name — REMOVED
  • Bank Account Number — replaced with 11111
  • Bank BSB — replaced with 000 000
  • Tax File Number — replaced with 111111111
  • Super Account Name — REMOVED
  • Super Account Number — REMOVED
  • Super Fund Name — REMOVED
  • WWC Number — REMOVED
  • WWCC Expiry Date — reset to 01/01/1900
  • Police Check Number — REMOVED
  • Police Check Expiry Date — reset to 01/01/1900
  • Registration Detail Number — REMOVED
  • Registration Expiry Date — reset to 01/01/1900
  • Login Password — DELETED

Pricing

  • Once-off initial build and implementation — $500.00 + GST
  • Per event (each scheduled or ad hoc run) — $250.00 + GST

If you need anonymisation to run on a schedule, select your preferred frequency when submitting your quote request. Options are: Once Off, Monthly (28th of each month), Quarterly (28th Jan, April, July, October), Bi-Annual (28th Jan and July), or Annual (28th July).


Anonymising a Single Member

If you only need to anonymise one specific member, you do not need to submit this form. You can action this directly in the system:

  • Navigate to the member's profile in Xeople
  • Confirm their status is INACTIVE or TERMINATED
  • Manually clear or overwrite each sensitive field listed above
  • Save the record

This form and service is for bulk anonymisation across multiple member records. If it is just one member, please update the record manually.

Please note for finance details, these can only be updated on the Finance Portal. Account Name and Number can be cleared/changed and BSB can be left the same.


How to Submit a Request

  • Step 1 — Review this page and confirm the fields that will be anonymised and that pricing suits your needs
  • Step 2 — Review the anonymisation outcome screen, which confirms exactly which fields will be cleared and what the default values will be
  • Step 3 — Complete the quote request form below with your name, email, company name, and how frequently you need this to run

Once submitted, the Xeople team will review your request and contact you with a formal quote. Work will not begin until the quote is approved.
