Leave Management

How are the Leave Accrual Units Calculated for the Member?

The following details explain the calculation process for leave accrual units for the member in the Leave Entitlement page.

A. Accrue fixed hours per primary pay run

When the Earning Category is 'Accrue Fixed hours per primary pay run', accrual units are calculated based on the member's weekly hours set.

Formula → '((value of yearly entitlement/ total number of weeks in a year)/standard week hours) * hours per week '

Let us understand this with the help of an example:

Case 1: Member's Pay Run Frequency = Weekly

Yearly Entitlement = 152 hours; Number of Weeks in a Year = 52 hours; Standard Week Work Hours = 38 hours

When the standard week work hours are 38 hours, the total accrual units are 2.92307 (yearly entitlement/ total number of weeks in a year).

If the member’s weekly work hours set as 20 hours, the accrual units are:

  • Applying the above formula ((value of yearly entitlement/ total number of weeks in a year)/standard week hour) * hours per week' → ((152/52)/38 * 20)) = 1.53845 hours.
  • As a result, the accrual units will be 1.53845 hours.

Case 2: Member's Pay Run Frequency = Fortnightly

When Yearly Entitlement = 152 hours; the Number of Weeks in a Year = 52 hours; Standard Week Work Hours = 38 hour, for 20 hours the accrual units are:

  • Applying the above formula → ((152/52)/38 x 20)) * 2 = 3.07691 hours.
  • As a result, the accrual units will be 3.07691  hours.

B. Accrue hours per hour worked

When the Earning Category is 'Accrue hours per hour worked', the accrual units are calculated based on the same formula as used in Master, without taking into account the weekly work hours of the member.

Formula →  '(yearly entitlement/ total number of weeks in a year) / work hours in a week’.

For the Standard Week Work Hours set, the total accrual units are = 0.07692 hours ((152/52)/38).

Here the work hours in a week are fetched from Standard Week Work Hours saved in the Application Settings.
