About Shift Match

Shift Match formerly known as Cascom is the automated allocation tool that provides a staff management solution designed to coordinate external members and internal groups through ShiftMatch.

ShiftMatch considerably increases the efficiency of filling open Shifts at least by 90% and allows the management to focus more on strategic resourcing decisions and other development/ training programs.

Benefits of Integration with ShiftMatch

The benefits of integration with ShiftMatch are:

  1. All the relevant Shifts are mapped from ShiftMatch on the ShiftMatch Entire OnHire Portal.
  2. Empower the Staff to align jobs with preferences on Qualification/ Expertise/ Location without prejudice.
  3. Transfers the configured ShiftMatch Shifts with ease to the Entire Portal.
  4. Easily fetches All Shifts and New Shifts from ShiftMatch.
  5. Help to manage large numbers of Shifts with minimum staff. This indicates that you can scale your business as demand grows.
  6. Provides member satisfaction. The members update their availability and are only contacted for shifts they desire. This increases retention rates.
  7. Entire OnHire is notified about the unavailability of Shifts when the Shifts are accepted by members.

Configure ShiftMatch Shifts

You can configure the ShiftMatch Shifts in your Entire OnHire ShiftMatch Portal easily by following a few easy steps explained below.

Step 1: Configure the ShiftMatch Shifts in the External Software Integration of Member Master of the Entire OnHire Staff Portal. In the External Software Integration, provide the relevant details including the Provider ID, User Name, and Password provided by the ShiftMatch.

Based on the mapped provider IDs in the External Software Integration, all the Shifts are fetched from the ShiftMatch.


This is the important step to configure the ShiftMatch with your Entire OnHire Staff Portal as all the configured Shifts are fetched accordingly from the ShiftMatch into the Entire OnHire ShiftMatch Portal.

Step 2: Ensure that all data is accurately mapped to Entire OnHire, including Qualifications, Locations, Skills, and Shift Type for each Software.

Step 3: From the ShiftMatch Entire OnHire Portal (Client-Specific portal), you can:

ShiftMatch Entire OnHire Portal acts as an interface between ShiftMatch and Entire OnHire Staff Portal to fetch your client requested Shifts.

  1. Fetch all Shifts from ShiftMatch by clicking Get All Shifts. This will fetch all the previous Shifts that are still available.

  2. Fetch new Shifts from ShiftMatch by clicking Get New Shifts. This will fetch all the newly available Shifts.

You can also set the auto-timer to Get New Shifts or Get Unfilled Shifts as shown in figure 2 below.

3. Transfer the selected Shift(s) into the Entire Onhire Staff Portal by clicking Transfer to
    EntireHr.

4. Withdraw the selected Shift(s) by clicking Withdraw Shift(s).

5. For the selected Shifts(s), you can search the availability of members based on matching
    location/ qualification/ expertise details by clicking Standard Search.

6. Similarly, Expertise Available is the search based on the expertise of the members.


In the ShiftMatch Entire OnHire Portal, to transfer the Shift(s) into the Entire Onhire Staff Portal:

  1. Select from the available Shift(s) that you want to be added to the Pool based on your requirements (as shown in Figure 3 below).

  2. Click Transfer to EntireHr.

The ShiftMatch Shift pop-up window opens with pre-filled details. Review all the details and click Create Shift. The Shift(s) will be automatically released to the members based on the matching Qualification/ Expertise/ Location of the members.

This Shift is now available on your Entire OnHire Staff Portal – Client Allocation page.

Step 4: The Shift(s) is transferred into the Client Allocation page of the Entire OnHire Staff Portal successfully. The New Shift(s) created from ShiftMatch is shown in Shift Status Notes as ‘Shift Release from ShiftMatch’ with Shift Status as ‘Shift Release’.

This Shift is a regular Shift that is released to the members based on Qualification/ Expertise. The Staff can also directly appoint members for the Shift and proceed with further action as required.

Step 5: This is the final step i.e. when the member accepts the released shift, and the Shift Status changes from Shift Accepted and Shift Booked. The staff and members are notified about the Shift acceptance.

Note that the Shift can be accepted from the Member App and Member Portal.

Similarly, ShiftMatch is also notified that the Shift has been accepted and is no longer available.

Communications Via ShiftMatch

You will receive the following emails from ShiftMatch directly in your inbox

  • Email stating there are shifts available - Shift Available

    • Action Required: Enter shifts from the ShiftMatch bridge

  • Email when your member accepted a shift and it has been booked in and Approved by Client - Subject - Agency Report or Shortfall amended

    • The shift would already be booked so this is a confirmation

  • Email if there are time changes or cancellations (Amendment) - Subject - Agency Report or Shortfall amended

    • To update shift within the Entire Onhire Allocations Portal with Changes

If the member has pulled out of a shift you will need to call your facility and they will remove the member for you - Then you will receive a cancellation email
